We are seeking a Client Service & Operations Coordinator to support our firm and ensure the smooth, professional functioning of our office.
This role combines elements of client relationship management, advisor support, and operational oversight. The ideal candidate is proactive, highly organized, and comfortable working in a small-team environment where everyone contributes to an exceptional client experience.
Key Responsibilities
Client & Contact Management
- Oversee client touch schedule — schedule and coordinating client meetings, quarterly reports, and ongoing client communications.
- Manage CRM data (Redtail) — ensuring client information and details are current.
- Organizing and maintaining digital and paper filing system.
- Coordinate onboarding of new clients, ensuring all paperwork and account setup steps are completed.
- Maintain professional and welcoming client interactions via phone, email, and in-office visits.
Advisor Support
- Draft meeting follow-up notes and correspondence based on advisor input.
- Manage service-related tasks such as check deposits, address changes, and Schwab document submissions.
- Monitor and maintain task lists to ensure timely completion and communication between advisor and client.
Office & Operations Management
- Maintain a professional, organized, and welcoming office environment.
- Provide backup support across administrative and client service functions to ensure seamless continuity.
Qualifications
- 2+ years of experience in a financial services, wealth management, or professional office environment.
- Strong attention to detail and ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
- Experience with Redtail CRM, Schwab Advisor Center, or similar platforms preferred.
- A positive, professional demeanor and client-first attitude.

Position Type: Part time, in-office: 30 hours per week, including Wednesday and Friday.
Compensation: Commensurate with experience
